Send reminders and follow-ups

Automatically send appointment reminders, follow-up messages, and engagement communications to your clients via email or SMS.

Keep clients informed with automated reminders and follow-up messages. Nkapio’s notification system sends appointment reminders, service completion messages, and custom follow-ups via email or SMS.

Step 1 — Navigate to Reminders or Notifications

From the sidebar, look for Reminders, Notifications, or a similar messaging section in your menu.

Step 2 — Create a new reminder

Click New Reminder or Schedule Message. Select the trigger (appointment reminder, service completion, custom date) and choose the recipient (client, staff, or both).

Step 3 — Compose your message

Write your reminder message. Use client and business details as merge fields (e.g., {client_name}, {service_time}). Choose the channel: email, SMS, or both.

Step 4 — Schedule and activate

Set when the reminder should send (minutes/hours before appointment, on a specific date, etc.) and activate it. The system will automatically send reminders according to your schedule.
